Office Coordinator

Schoolcraft, MI.

Job Responsibilities
  • Provide office administrative support.
  • Respond to questions in a timely manner while providing excellent customer service.
  • Create and support positive team morale and environment.


Human Resources

  • Provide suggestions for the Digital Signage communication board.
  • Assist in scheduling and communicating employee engagement events.
  • Audit on various reports as requested by HR Manager.
  • Manage HR mailbox and distribute information timely.
  • Display and monitor hard copy communications on employee bulletin boards
  • Manager employee posters requirements in all plants.
  • Manage annual holiday cards, calendar orders, etc.
  • Assist with flu clinic as needed.

HR Administrative Duties

  • Welcome all visitors and callers in a friendly and professional manner.
  • Monitor the gate and operate the intercom and gate.
  • Announce visitor to the employee they request to meet with and direct them to their destination.
  • Answer, screen and transfer inbound telephone calls.
  • Mail - Open, sort, date-stamp and distribute incoming mail and faxes each day.
  • Sort checks received, total those payable to company, enter in cash receipts log and verify totals match.
  • Pick-up and distribute internal mail from/to various onsite buildings twice daily, and conduct mail runs to the post office as needed.
  • Maintain postage machine, apply postage to all outgoing mail, and prepare outgoing mail.
  • Maintain reception area, conference rooms and kitchen (including refrigerator, dishwasher, coffee machine) daily.
  • Coordinate on or offsite-meeting arrangements for Management as requested.
  • Maintain conference room supplies, make copies, arrange catering, make restaurant reservations, etc.
  • Coordinate office events (i.e. potlucks), order employee flowers or sympathy cards, send employee birthday cards and organize other employee items as needed.
  • Manage, order, verify and distribute office supplies, such as copier paper, printer cartridges, coffee, beverages and snacks for conference room and kitchen supplies; Recycle toner.
  • Report building repair issues to maintenance staff and coordinate with office and carpet cleaning vendors.
  • Maintain, update and distribute company telephone directory.
  • Manage vendors to include window cleaning, carpet cleaning, shred company’s etc.
  • Schedule company vehicles to be detailed periodically.
  • Travel scheduling to include plane, hotel and car reservations.
  • Manage the use of the company car(s) - Maintain driver’s license copies and verification log, reservation calendar and provide keys.
  • Update name placards in admin office and nameplates in production area.
  • Manage physical mailbox labeling.
  • Periodic filing as request by HR Manager.
  • Ensure key cards are accurate assigned and unassigned as needed.

Other Duties

  • Temporary employee invoices – Print and maintain list, validate that timesheets match what was billed, follow up on invoices as needed and provide accurate data to Account Payable, filing data upon payment..
  • Vendor set up and direct deposit - Enter new vendor information into SAP and maintain changes
  • Maintain consistent attendance, punctuality, personal appearance and adherence to all policies and procedures.
  • Meet employees and management team while representing the JRS HR Team in a professional manner.
  • HR projects and other duties as assigned.

Minimum Job Requirements, Skills and Qualifications
  • 2 years of customer service or service industry experience preferred.
  • Must have basic skills with MS Office; Outlook, Excel and Word Ability to multi-task and perform in a fast-paced environment and maintain composure in demanding situations.
  • Able to effectively and professionally communicate in person and on the telephone.
  • Must be able to work independently and with initiative within the assigned area of responsibility.
  • Must have excellent organizational skills and orientation to detail.
  • Strong time management skills and flexibility to adjust schedule if needed are essential.
  • Employee must be able to cope effectively with multiple demands.

  • Valid Michigan driver’s license preferred

  • Interact with all departments within JRS USA.
Physical Requirements
  • Job requires sitting, typing and viewing computer screens for long periods of time.
  • Function necessitates occasional walking to various locations in the facility.
  • Ability to lift up to 20 lbs.
